Weekend Events

Description

The Weekend Events Chairs seek to facilitate creative, student-led campus social activities on the weekends during the late evening hours. Ideally, two campus events will be hosted each weekend during the fall and spring semesters. A student organization or campus group (e.g., residence hall) may apply to receive up to $500 to host a single, on-campus event on a Friday or Saturday night. Individual students are also encouraged to form groups and submit a proposal form. Funds will be awarded on a first come, first serve basis.

Who can submit event ideas?

Any registered student organization or departmental group (e.g., athletic team) in good standing with the University is eligible to participate in the contest. Individual students are also encouraged to form groups and sponsor events. Ideally, a group should consist of at least three people. No more than two proposals from a single group will be funded in a given semester.

Eligible Activities and Requirements

Eligible activities must be held on Friday (between 7 p.m. to 1:00 a.m.) or Saturday (between noon and 1:00 a.m.) and should last a minimum of two hours and a maximum of five hours in duration. Eligible activities must meet the following requirements:

  • Student-led and held on campus on a Friday or Saturday night
  • Open to the entire student body
  • Free of charge to students
  • Evidence clear support of the University's mission and adhere to all University policies and procedures.

Event Proposals and Planning

Event proposals will be reviewed by the Weekend Events Board (WEB) on a weekly basis, and will be accepted every Monday by noon. Proposals received after this deadline will be deferred until the following week for review.

To propose an activity, contestants must complete the following steps:

Step 1: Check the Student Life calendar for an available date. The Student Life calendar link may be found here.

Step 2: At least 21 days before the proposed event date, submit a Weekend Event Submission Form to the Student Activities Office, plus attach a detailed financial summary. All eligible groups are expected to identify a full-time staff or faculty advisor for the event (e.g., student organization advisor or departmental supervisor). Student organizations are encouraged to work with their faculty advisors. Individual groups who do not have a faculty or staff advisor should work closely with the Weekend Events Board (WEB).

Step 3: Upon acceptance of the entry, make necessary reservations for facilities and services (e.g., confirm location, complete set-up requests, submit audio/visual needs, etc.).

Step 4: Identify a student coordinator to provide planning and organizational leadership and recruit volunteers to provide program assistance. Be sure to work closely with Jarrett Fisher, Student Activities Coordinator, especially in the early planning stages in preparation of the event. Jarrett may be reached in the Office of Student Activities (TCC 210) at x4201 or by e-mail: jdfisher@pepperdine.edu.

Step 5: Purchase or rent any items that will be used for the event. For amounts exceeding $75, please work closely with the Student Activities Advisor to make arrangements for checks to be issued.

Step 6: Host an amazing activity!

Step 7: Submit any approved expenses for reimbursement within three business days following the event. An official receipt or invoice is required for all reimbursements. There will be no exceptions to this policy! Also, complete a post-event summary that details the success of your event (see document). A post-event summary should be submitted within one week of the event on the following Friday before 5:00 p.m.
